Gather arrival details
Date, landing time, number of people and destination (hotel, venue or other point). If the group arrives on several flights, note each one separately.
Agree the meeting point
Agree with the transport company where and how the group will meet the driver, and share that point with all travellers before the flight.
Do not forget luggage and the return
